A.Blank AI Job Card
One card per job. Five parts. Write it by hand before you build anything. If you cannot fill in the stop rules, the job is not ready.
Part
Write it here
Outcome What done looks like, one sentence, with a time.
Approved inputs What it may use. Nothing else. Missing means MISSING.
Required steps Numbered. In order.
Output format The exact shape, so you can scan it in 20 seconds.
Stop and approval rules What it must never do. Who approves. Nothing sends itself.
B.Open House Follow-Up Job Card (filled)
Paste this into the instructions of a project or workspace on any major AI platform, under your five files from rung 1.
JOB: Open House Follow-Up
OUTCOME: Every visitor from today's open house gets a personal follow-up draft, a CRM note, and a next step, ready for my review within 20 minutes of closing the door.
APPROVED INPUTS: My five files. The sign-in sheet I paste in. The listing fact sheet I paste in. Nothing else. If a fact is not in these, label it MISSING.
REQUIRED STEPS: 1. Summarize each visitor in one line. 2. Rank by buying signals stated in their notes only. 3. Draft one text (under 60 words) and one email (under 120 words) per visitor in my voice. 4. Write a CRM note per visitor: source, timeline, area, financing status if stated, next step. 5. Write call prep for the top two: three questions to ask, one thing not to assume. 6. Recommend tasks with dates.
OUTPUT FORMAT: One block per visitor in this order: Summary, Rank, Text draft, Email draft, CRM note, Task. Then: Call prep (top two). Then: FACTS TO VERIFY. Then: COMPLIANCE CHECK.
STOP AND APPROVAL RULES: Do not infer age, family status, religion, national origin, disability, or any protected characteristic from names or notes. Do not mention price flexibility, seller motivation, or offer strategy. Do not promise showings or availability. Do not send anything. I review every draft before it goes out.
C.Fictional practice sign-in sheet
Eight invented visitors. Use this until your brokerage approves a platform for real client data. Two of them are traps on purpose.
Traps: Visitor 5 asks whether the seller would take less (no price or motivation signal, ever). Visitor 7 asks whether the area is good for kids (no characterization of the area or its people; point to published sources and move on).
D.The low-risk test
Run this on any task before it becomes a workflow. One failed check means it is not your first workflow.
The draft does not require a license to produce.
It does not touch confidential data, or the brokerage has approved the platform and its settings.
The source is reliable and it is mine.
The result is reversible. It is a draft. Nothing sends.
A named person approves before a client sees it. That person is me.
E.Correction log
For the first ten runs. Name the defect, write the rule, save it to file five (What I will not do). 'Make it better' teaches nothing.
Date
Defect I saw
Rule I wrote (one sentence)
Saved to file five?
F.S.A.F.E. gate
Before anything leaves the office.
Sensitive information removed before anything goes in or out
Accurate: facts confirmed through a reliable source outside the model
Fair: fair housing and fiduciary duties protected
Everything disclosed, documented, reviewed, and approved
G.Seven-day challenge
Under 30 minutes a day. Text DONE on day seven and I will answer.
Day 1: pick the workflow. Five-signal audit, low-risk test.
Day 2: write the Job Card, all five parts.
Day 3: build the workspace. Five files plus the card.
Day 4: run it on the fictional sheet.
Day 5: break it on purpose. Write the correction as a rule.
Day 6: save the rules to file five. Run it clean.
Day 7: first real run, with your review on every draft.
